Overview
This Refund Policy explains when and how refunds are issued for trips booked with Amerka Travel (“Amerka,” “we,” “us,” or “our”), a travel agency based in Boston, Massachusetts. It applies in addition to our Terms of Service and to the terms of the airlines, hotels, visa processors, and tour operators that provide parts of your trip (“Suppliers”).
Because Umrah and Hajj packages depend on airline tickets, hotel deposits, and Saudi visa fees that are non-refundable once issued, a portion of your trip cost is non-refundable from the moment the booking is confirmed.
Deposits
- A booking deposit is required to confirm your seat in a package.
- The deposit is non-refundable, except where Massachusetts law expressly requires otherwise.
- The deposit may be transferable to another departure within twelve (12) months at our discretion, subject to Supplier rules and any fare difference.
Cancellation windows (Umrah & Hajj packages)
Cancellation charges below are based on the date we receive your written cancellation request relative to the trip’s departure date, and are applied to the total trip price for each affected traveler:
- 91+ days before departure: deposit forfeited; balance refundable, less any non-refundable Supplier charges already incurred.
- 61 – 90 days before departure: 35% of the total trip price, plus any non-refundable Supplier charges.
- 31 – 60 days before departure: 60% of the total trip price, plus any non-refundable Supplier charges.
- 15 – 30 days before departure: 85% of the total trip price, plus any non-refundable Supplier charges.
- 0 – 14 days before departure, no-shows, or partial use: 100% of the total trip price. No refund.
Hajj packages and peak-season Umrah departures (Ramadan, school breaks) may carry stricter terms; the specific cancellation grid for your trip is shown on your invoice and prevails over the general schedule above.
Always non-refundable
- Saudi Umrah/Hajj visa fees once submitted.
- Airline tickets once issued (subject to airline rules).
- Hotel and ground-transport deposits already paid to Suppliers.
- Travel insurance premiums.
- Our service fee, where charged separately on your invoice.
Changes by traveler
Requests to change names, dates, room occupancy, or other booking details are subject to Supplier rules and may incur change fees, fare differences, and an administrative fee. We will share the cost before any change is processed.
Cancellations or changes by us
If we must cancel a trip (including due to Saudi government decisions affecting Umrah/Hajj quotas or access, force-majeure events, or minimum-group-size requirements not met), we will offer either a comparable alternative departure or a refund of payments received for the cancelled portion, less any non-refundable Supplier charges already paid out on your behalf. We are not liable for incidental costs (visas, flights to the U.S. departure city, etc.) booked independently.
How to request a refund
- Email contact@amerkatravel.bigwheelsit.com with your booking reference, the names of affected travelers, and the reason for the request.
- We acknowledge requests within three (3) business days and confirm the applicable refund amount in writing.
- Approved refunds are issued to the original payment method within fourteen (14) business days, subject to Supplier and processor timelines (banks may take additional days to post the credit).
Chargebacks
Please contact us before initiating a chargeback with your bank. Most issues are resolved more quickly directly with our team. Chargebacks filed outside the terms of this Policy may be disputed and, if reversed, you remain responsible for the original charge and any related fees.
Governing law
This Refund Policy is governed by the laws of the Commonwealth of Massachusetts. Disputes that are not resolved informally shall be brought in the courts described in our Terms of Service.
